1. Data Controller
The data controller responsible for processing personal data on this site and within the LoadViser Pro product is LoadViser Pro, a company registered in the United Kingdom. For all enquiries you may contact us at privacy@loadviserpro.com.
2. What data we collect
We process two broad categories of data:
- Account data: name, email address, role, club affiliation, phone number (optional), profile picture (optional).
- Performance data: training-load entries (RPE, duration, session type), heart-rate and GPS data forwarded from connected devices (e.g. Polar), test results, body composition measurements, injury records, and microcycle plans that you or your club's authorised users enter into the system.
We do not collect race, religion, or political-opinion data, and we never knowingly process data of children below 13 without verified parental or guardian consent.
3. Why we process it
We process personal data only on the following legal bases (Article 6 GDPR):
- Performance of the contract you (or your club) have entered into with us;
- Compliance with our legal obligations (e.g. tax, anti-fraud);
- Legitimate interests, such as improving the product and securing the platform;
- Your explicit consent for optional features such as marketing emails.
4. Who can see the data
Within a club, data is visible only to users whose role grants them access (e.g. medical data is hidden from analysts). LoadViser Pro staff access customer data strictly on a need-to-know basis for support, debugging, or legal obligations. We do not sell personal data to any third party.
5. Sub-processors
We rely on a small set of trusted infrastructure providers:
- Hosting and database: ISO 27001-certified data centres located in the EU and UK.
- Email delivery: Postmark / Amazon SES.
- Error monitoring: Sentry (with PII scrubbing enabled).
- Optional integration: Polar AccessLink — only activated when a player explicitly authorises it.
6. How long we keep the data
Active account data is retained for as long as the club's subscription is active. Performance data is preserved historically because longitudinal analysis is the core value of the product. Upon written termination request, all personal data is deleted within 30 days, with aggregated and anonymised data retained for product analytics.
7. Your rights
You have the right to access, rectify, delete, restrict or object to the processing of your personal data, the right to data portability, and the right to lodge a complaint with a supervisory authority. To exercise any of these rights, contact privacy@loadviserpro.com. We respond within 30 days.
8. International transfers
Because LoadViser Pro is established in the UK and serves customers in multiple jurisdictions, personal data may be transferred outside your country of residence. Such transfers are governed by Standard Contractual Clauses (SCC) and adequacy decisions where applicable.
9. Security
Data in transit is encrypted with TLS 1.2+; data at rest is encrypted with AES-256. Production access requires SSO with MFA. Sensitive secrets (API tokens, Polar credentials) are stored encrypted and never logged.
10. Changes to this policy
We may update this policy from time to time. Material changes will be notified by email and inside the application at least 30 days before they take effect.
